Cross-Training

Hi Team,

Below are the cross-trainings for the upcoming weeks.  There are two rotations per training.  Rotation 1 is from 8:30am to 9:00am. Rotation 2 is from 9:15am to 9:45am.

Brownsville Team - The location for training will be the Strategic Enrollment Conference Room

Edinburg Team - Wednesday's location is the Data Analysis Conference Room and Thursday's location is the Student Enrollment Conference Room. In addition, the Call Center does skype in from their conference room.

TEXAS Grant Announcement

A "NODISB" tracking code has been posted for 288 students whose fall award did not pay out before Dec 15, 2016 (last official fall school day).  This NODISB will only prevent the fall portion of the award to not disburse, spring awards are ok. 

After Spring Census, if the student is enrolled will the NODISBs then be lifted and let the fall portion pay out.  If you have any questions, feel free to let me know.

Summer Fin Aid SAP Complete

Financial Aid SAP has been calculated for Students who wer enrolled Summer 2.  If a student was on 'warning status or an approved appeal "Academic Plan" and they met the conditions to continue with financial aid their disbursement hold has been cleared and their aid now shows "PAID".

Hello Strategic Enrollment,

      As a part of the learning process, we will be offering campus tours along with meet and greets throughout the entire office in the months of October and November.  Tours and meet and greets will take place on both campuses.  The dates below are listed according to the campus they will be held on.  The agenda is also listed below.  Each day has a capacity of 15 staff members.  If you would like to attend please obtain approval with your supervisor.  Once approval has been granted please email me (rebekah.sepulveda@utrgv.edu) the date you would like to attend.  If you have attended On-Boarding, you cannot attend.  Please let me know if you have any questions.  Thank you and have a great day.

Summer Training (Part 1)

Hi Staff,

 Summer Training (Part 1) will cover Admissions (Decision Letters), Orientation, Jumpstart, adding TSI Scores, Meningitis and clearing Final Official High School Transcript.  The training is an update or refresher on the questions we will be getting during the course of summer.  Training will be Wednesday, April 20th.  Edinburg Campus' training will be held in the U Central Training Room and Brownsville Campus' training will be held in the Student Enrollment Conference Room.  The first session will be at 8:30 till 10:00 and the second session will be 10:15 till 11:45.  If you are interested in attending please let me know.  Thank you and have a great day.

Transfer Monitoring Hold

In preparation for summer awarding, we need to identify any and all students who may have received Pell and/or Direct Loans at another school during 2015-2016.

Students who have been identified as transfers or potential transfers during this 2015-2016 year have gone through the Transfer Monitoring process in Banner. Through this process for checking the eligibility of transfer students, we are not able to disburse federal aid to those students. the hold gets removed automatically after seven days.

 

The file was sent today, therefore the ROAHOLD is from 03/29/16 thru 04/05/2016.

Orientation Reservation System

Hello ,

 

The reservation system for EF's is now open. Mayra and Roger are working on sending out the postcards to the students with the instructions to reserve.

Things are a little different this year. All admitted students are eligible to reserve and attend an orientation, however, they will not be able to register until we have received all 3TSI test scores (English, Writing, and Math) or proof of exemption.

Steps for reserving a seat:

* log on to my.utrgv.edu and click on ASSIST. Students will need their username and password.

* Have them verify or update their contact information.

* On the Admission tab, select the Orientation Reservation sytem link to select sessions.

* An email confirming orientation date will be sent once form is complete.

New Student Orientation Hold

Good Afternoon,

 

Would like to inform you that effective with the new student orientation cycle that will be starting new entering freshmen and new tranfer students who have been admitted will be reflecting an AO hold in SOAHOLD. This hold will prevent students from registering courses, in order for this hold to be released students will need to first attend a student orientation. The phone numbers displayed in the hold pertain to the orientation office in brownsville and in edinburg.

Example of when the holds will be released; after check-in during the morning of the orientation date students will be flagged as having attended orientation in GEATTID under either A0193 (entering Freshmen) or A0194(transfer) with a check mark indicator in the attend column. ONce this indicator has been populated those students with this indicator will have their hold released before their registration session begins.

Summer Mode

Hello all,

We have move our Tracking process to begin selecting summer start students for verification beginning this weekend. What this means is that students beginning in Summer 1 and Summer 2 and who are admitted should be analyzed. If they meet the verification requirements, they will get selected for verification.

This is in preparation for our summer awarding process. Our target deadline for awarding is in April but we will keep you all posted. if we complete the task earlier.

Financial Aid Satisfactory Academic Progress (SAP) scenarios

Hello all,

In an effort to provide the best possible customer service and guidance to all Enrollment Services staff when assisting students, Financial Aid has identified these possible FA SAP scenarios .

Student has SAPRVW hold in RRAAREQ:

Students with the SAPRVW tracking code are pending further review of academic history and will not have their aid authorized/paid until the hold is cleared.

NOGRDE SAP Status:

Students with a ‘NOGRDE’ as their Financial Aid SAP status either have an incomplete or an NR as a grade reported for the FALL term [201610](check SHACRSE/SHATRNS) AT THE TIME SAP was processed. If the grade has changed since then (check SHATCKN by term 201610), then a report will identify them and SAP will be reevaluated again. We have approximately 300+ students in this status.

FA SAP GPA difference from transcript GPA:

If a student’s ROANYUD field 6 indicates a SAP Institutional GPA lower than that listed on RSIHIST or their transcript it could be due to two reasons:

  1. The students has a ‘Y’ in ROANYUD field 4 before the SAP date. This means a student has courses that were excluded from their academic GPA calculation. However, these courses need to be included in the student's GPA for Financial Aid process. 
  2. The student has remedial courses that are included for GPA. The federal guidelines state that remedial courses can be excluded from the quantitative components but not the qualitative (which is GPA).

Academic Coursework validations - TRVALID on SGASTDN:

There may be students whose SAP values differ in ROANYUD compared to their transcripts/RSIHIST. This is due to the continual academic coursework validation that’s ongoing. Once a student coursework is validated, a TRVALID code is placed in SGASTDN on the activity tab.  If the activity date is AFTER the FA SAP date on ROANYUD field 4, then that means a student needs to be reevaluated for SAP and will be updated by the FA Team. You may see Roberto Flores and Evelyn Pecero in Brownsville and me in the Edinburg campus. If we cannot be reached please submit an Issue tracker, so we may reevaluate the student.

Transfer Coursework:

Students who are transferring in for the spring are being admitted prior to having their academic coursework  evaluated.  As a result, if a student is a returning transfer to UTRGV (meaning they were a previous attendee for UTB or UTPA and are now returning to UTRGV) their initial academic history may not be up to date. These students will have their FA SAP reevaluated once their transcript coursework is rolled over to their system academic transcript. If the student becomes ineligible for aid after the reevaluation, the student will need to appeal for FA eligibility. Transfer students who never attended either UTB or UTPA institutions will have one term to earn a good FA SAP status.

Financial Aid Satisfactory Academic Progress (SAP)

Hello all,

Financial Aid (FA) processed approximately 27,600+ students for FA SAP. These students were enrolled for the term 201610.  To view the student’s eligibility status on Banner you can go to ROASTAT on the eligibility tab and look at the NEW SAP status column. This SAP status is based on the values posted on the Banner form ROANYUD fields 4-9.

An E-mail Notifications will be sent to students informing them of their FA SAP status later today. In addition, students can view their FA SAP status, GPA, passed hours, attempted hours, and hour completion rate (pace) on ASSIST by clicking on Financial Aid>Financial Aid Status>2015-2016>Review Requirements>Academic Progress via the MY.UTRGV.EDU portal.

Hello all,

Financial Aid (FA) processed approximately 600+ students for FA SAP. These students were enrolled for term(s) 201613 and/or 201617. To view the student’s eligibility you can go to ROASTAT on the eligibility tab and look at the NEW SAP status column. This SAP status is based on the values calculated on Banner form ROANYUD fields 4-9.

Spring Work-Study Notification

Good Afternoon,

On Friday morning, 1,270 students were e-mailed notifying them they had until January 31st to secure a job with the university.  In the event they are not able to, the work-study award will be cancelled.  Depending on the traffic (ePAFs) generated, the Additional Aid Request could be activated for new students to submit a request.

Financial Aid Summer Notification Live!

Greetings,

I know Fall 201610 hasn’t even concluded but Financial Aid has made the Summer Notification active for the Summer 2016 season! At the moment, students may submit their summer notification via Assist. They can do so by:

  • Going to my.utrgv.edu and logging in.
  • Click on the Assist button
  • Click on the Financial  Aid Tab
  • Click on the ‘Award’ link
  • Select the award aid year 2015-2016 from the drop down box.

This will present them a message with a link that will take them to the web application to submit their notification.  Once processed, students will have a message displayed indicating their notification has been processed. Banner users can also look for the tracking code ‘SUMMER’ in the tracking form RRAAREQ as a form of confirmation when reviewing students.

The link will also go live on our UTRGV website and once it becomes available I will let you all know.

Correction for Academic Partnership Aid Authorizations

I misunderstood a post about fees for the Academic Partnership (AP) program. Fees have not yet to be placed for those students enrolled for term 201623. Once posted, we will authorize their aid. At the moment only students enrolled in 201620 will be authorized.

Financial aid Spring Authorizations

Greetings,

Since Spring 201620 fees have been applied, FA will now run a nightly process to authorize aid in that term. Authorize means if we were to  pay the aid today, based on enrollment and the student record, this is what would pay to the student record (sort of like a simulation). Spring 201620 aid will pay to student’s accounts on the evening of January 9, 2016.

In addition, Academic Partnership (AP) student’s aid for spring module 1 for term201623 should also have their aid authorize as of today and pay on December 27, 2016.

If aid does not authorize, please look on form ROIDISB and look at the disbursement error(s). Students may not meet:

  • Satisfactory academic progress for spring term 201620(located in ROASTAT)
  • Student may not be enrolled for enough hours for fund(ROAENRL)
  • Disbursement Holds placed in ROAHOLD or RRAAREQ

Spring (201620) Fees Have Been Posted/PH Holds

Hi Staff,

    Raquel informed us this morning that, Spring fees have posted and students can now see the charges on Assist.  In addition, financial aid holds have been placed for students that have a balance for Fall (201610).  Students will get a PH Hold if they have a balance of $500.00 or greater.  Remember this hold prevents registering, getting a transcript, requesting an installment plan or emergency loan.  Students who owe less than $500 will get a PH Hold as well, however they can registrar for classes.  Please let me know if you have any questions and have a great day.

Satisfactory Academic Progress(SAP) Hold for Appeal and Warning Students

Hello Enrollment Services!

Financial Aid has identified students who have an appeal or are in a warning status for their Satisfactory Academic Progress (SAP) in the Fall 201610. This is in preparation for the authorization/credit of aid for the spring term. In case of student inquiries, we have posted a SAP evaluation hold “SW” in the Banner form ROAHOLD effective term 201620. This hold will prevent any federal, state, and/or institutional aid that requires a good SAP status from authorizing or paying to a student’s account and will expire on December 23, 2015. This date is after financial aid has completed the SAP evaluation that takes place after each grading period.

Students who do meet SAP or their appeal conditions will automatically have their aid authorize to their student account after that date. If the student fails to meet their appeal conditions or SAP, their aid for spring will be cancelled.

Banner unavailable this weekend and Image now on Saturday

Students who became Max Time Frame(MTF) for FA in spring

Hello,

Financial has identified students who have reached Financial Aid MTFwith their attempted hours from Fall 201610. We have posted the Suspension status on the eligibility tab on form ROASTAT for  the term 201620 and it should display as S-MTF on the New status column.  SAP values on ROANYUD  field 8 and 4 were updated to reflect current attempted hours that include fall enrollment as of census date. MTF attempted hours for all levels are as follows:

  • UG 1st degree = 180 hrs
  • PB working on 2nd UG degree = 90 hrs
  • MA 1st degree = 63(except  majors OCCT program= 107/ Phas Program = 150, SCHP  program= 104)
  • PM 2nd degree = 45 (except  majors OCCT program= 89/ Phas Program = 132, SCHP  program= 59)
  • DR 1st degree = 99 hrs

Students with aid and no Official HS Transcript

Hello,

Earlier today about 200 students received an e-mail informing them that  they have until December 4, 2015 to submit and official HS transcript to the admissions office or risk aid cancelations for the academic year 2015-2016. These students have aid for 1516 but no official HS transcript on SOAHSCH.  A hold was placed in ROAHOLD. If you have questions, please let me know.

TASFA for International Students

Hi Staff,

 

  Earlier today, the Office of International Admissions sent out a email informing students to complete the TASFA for ‘scholarship’ money.   We will be awarding the students TPEG Non Resident.  Ask per Raul, “The process will be the same as for our Senate-Bill students, with the exception of requiring TX residency, Selective Service and any other requirements that do not pertain to this population.  Some of the students may need the Non-Filer Form (for proof of income) and the Monthly Living and Personal Expense Worksheet if they report income below the $7,000 threshold.”  The deadline to submit the application is November 6th.  You can access the application as well as the Non-Filer Form(s) at:  http://rgvfocus.org/resources/toolkits/tasfa-toolkit-resource-page/.   If you recieve the paperwork, please enter 'TASFAA' in tracking with a 'R".  Please let me know if you have any questions.  Thank you and have a great day.

Mid Term Loans

Due to some technical difficulties, mid term loans that should have paid out last night 10/25/2015 didn't. Financial aid has posted the funds this morning and the remaining credit is now reflecting on the students accounts.

Verification Update

Files that were sent off to ProEd were dated from Aug 24th to Sept 11th.  506 files were sent off and 283 have gone through the verification process.  Even though Allysa sent them in a particular order, they are not being processed that way.  Allysa is going through them as well.  She put them in date order and is working on them as fast as she can.

Files from Sept. 12th - present are being processed in-house, by her and her two work studies.

ThinkAboutIt14 hold

The transcript/grade hold is in place until completion of the online modules for Think About It. The hold will not impact a student’s ability to receive financial aid or register for classes, however, it will keep a student from being able to receive an official transcript or view their grades. Campus Clarity’s Think About It is an innovative, engaging, and informative online course, created with students for students. In the course, you will examine the interconnected issues of hooking up, substance abuse, sexual violence, and healthy relationships through a variety of interactive, realistic scenarios and guided self-reflection. The course promotes a healthier and safer campus environment for everyone.

 

Think About It takes about two to two-and-a-half hours to complete. You can work at your own pace from any computer (requires Flash player). You can leave and return to the course at any time, and when you return, it will open to the page where you left off. Students received an email with a direct link to the training, but can also access it by going directly to campusclarity.com. This is a required training for new students and it needs to be completed no later than October 1.
